Effective Date: October 1, 2026 Last Updated: September 30, 2026
This Refund Policy outlines the terms under which refunds, credits, or billing adjustments may be considered for dental
services, treatments, products, and related fees provided by Norcross Dental Center (the “Practice”). By scheduling an
appointment, receiving treatment, making any payment, or signing any treatment or financial agreement, patients (or their legal
guardians/responsible parties) acknowledge that they have read, understood, and agreed to this policy.
This policy applies to all patients and covers professional dental services, diagnostic procedures, restorative work, cosmetic
treatments, orthodontics, oral surgery, preventive care, laboratory fees, appliances, and any associated products or materials.
DENTAL TREATMENT OUTCOMES ARE NOT GUARANTEED.
Dentistry involves biological systems that vary significantly between individuals. Factors outside the Practice’s
control—including a patient’s medical history, oral hygiene, compliance with post-treatment instructions, genetic factors,
existing conditions, lifestyle habits (e.g., smoking, diet, grinding/clenching), healing response, and the inherent limitations of
dental materials and techniques—can affect results.
Norcross Dental Center makes no warranties, express or implied, regarding:
• The success, longevity, aesthetics, or functionality of any treatment, restoration, appliance, or procedure.
• Pain-free outcomes, specific timelines for healing or results, or the absence of complications.
• Exact color matches, fit, comfort, or appearance (particularly for cosmetic, prosthetic, or elective procedures).
• Prevention of future dental issues or the need for additional treatment.
All treatment recommendations are based on professional clinical judgment at the time of examination. Patients are encouraged
to ask questions and seek second opinions when desired. Acceptance of treatment constitutes acknowledgment that results
cannot be guaranteed
• Payment is expected at the time services are rendered unless other written arrangements have been made in advance
with the office.
• The Practice accepts cash, CareCredit, and major credit/debit cards (Visa, MasterCard, American Express). Checks are
not accepted.
• Insurance benefits are estimates only. Patients remain fully responsible for all fees not covered by insurance, including
deductibles, co-pays, non-covered services, and any balance remaining after insurance payment.
• As a courtesy, the Practice will file insurance claims. If payment is not received from the insurance company within 60
days, the balance becomes the patient’s responsibility.
• Deposits or prepayments may be required for certain procedures, custom laboratory work, or extensive treatment plans.
These are applied toward the final fee but remain subject to the refund terms below.
• Non-insured patients are expected to pay in full on the day of service unless prior arrangements have been made with the
office manager.
Refunds are granted only in limited circumstances and solely at the Practice’s discretion. Eligible situations may include:
• Overpayment or Billing Error: Documented overcharges or administrative mistakes will be refunded or credited promptly
once verified.
• Cancellation of Untreated Services: Fees paid in advance for services that have not been started may be refundable,
subject to any applicable cancellation or administrative fees and less any non-refundable deposits or laboratory costs
already incurred.
• Failure to Deliver Scheduled Service Due to Practice Cancellation: If the Practice cancels an appointment and is
unable to reschedule within a reasonable time, prepaid fees for that specific visit may be refunded.
• Documented Clinical Failure Directly Attributable to the Practice: In rare cases where a restoration or appliance fails
due to a clear material or workmanship defect under the Practice’s control (and not due to patient factors such as trauma,
neglect, or non-compliance), the Practice may, at its sole discretion, offer repair, replacement, or a partial/full refund of the
professional fee associated with that specific item. Laboratory fees and related costs are generally non-refundable.
Refunds will generally not be provided for:
• Dissatisfaction with aesthetic results, comfort, or subjective outcomes when treatment was delivered as planned and
meets accepted standards of care.
• Complications or the need for additional treatment arising from biological response, pre-existing conditions, or patient
non-compliance.
• Services already rendered, including examinations, cleanings, X-rays, anesthesia, and completed restorative or surgical
work.
• Custom-fabricated items (crowns, bridges, dentures, nightguards, aligners, retainers, etc.) once laboratory work has been
initiated or the item has been delivered.
• Missed appointments, late cancellations, or failure to follow pre- or post-operative instructions.
• Changes in a patient’s personal circumstances, insurance coverage, or decision to discontinue recommended treatment
after services have begun.
• Elective or cosmetic procedures once commenced.
The following are typically non-refundable once incurred or ordered:
• Laboratory and fabrication fees for custom appliances, prosthetics, and restorations.
• Diagnostic records, imaging, and treatment planning fees.
• Deposits required to reserve appointment time or initiate custom work (unless the Practice cancels).
• Fees for services already performed.
• Any third-party financing charges, interest, or fees associated with payment plans (including CareCredit).
• Patients are expected to provide at least 48 hours’ notice for cancellations or rescheduling.
• Appointments missed without 48 hours’ notice may result in a $25 charge.
• Late cancellations or no-shows may also result in forfeiture of any deposit.
• Repeated missed appointments may result in dismissal from the Practice.
• Prepaid fees for cancelled appointments are subject to the refund terms above and any applicable cancellation charges.
1. Submit a written request to the Practice (in person, by mail, or email) within 30 days of the service date or discovery of
the issue.
2. Include the patient’s full name, date of service, description of the concern, and any supporting documentation.
3. The Practice will review the request, which may include clinical evaluation, review of records, and consultation with
treating providers.
4. A written response will typically be provided within 14–30 business days.
5. Approved refunds will be issued via the original payment method when possible, or by check/credit. Processing may take
additional time depending on the payment processor or insurance carrier.
The Practice reserves the right to offer alternative resolutions (repair, replacement, credit toward future services, or partial
refund) rather than a full cash refund.
Any refunds involving insurance payments will be handled in accordance with the carrier’s policies and applicable law.
Overpayments by insurance will generally be returned to the carrier. Patients remain responsible for coordinating benefits and
understanding their coverage.
This policy does not expand or limit any rights or remedies available under applicable Georgia law. Nothing in this policy
constitutes a waiver of the Practice’s professional judgment or standard of care obligations.
Patients are encouraged to discuss concerns promptly with the treating dentist or office staff. Many issues can be resolved
through communication, adjustment, or follow-up care.
Norcross Dental Center may update this Refund Policy at any time. The version in effect at the time of service or payment will
govern. Continued use of the Practice’s services after any update constitutes acceptance of the revised terms.
